The challenge
Forms that go out to the customer, come back filled in, and have to be retained as a formal record — in a regulated environment where it matters exactly what the customer signed and when.
What we built
A two-way forms platform: an editor in which business users build the form, versioning that freezes the version that was sent, a return path carrying the data, and accessible signed PDF output at the end of the process.
What it delivered
The system reached production within two months of the specification, and has been in production since.
The requirements
- A forms editor the organisation’s own content team works in — a new form does not wait for a programmer.
- Version control that freezes every form that was sent: even after the form changes, what the customer received is kept as it was.
- A full return path — the form comes back with its data, not as a dead file.
- A final document as an accessible, digitally signed PDF, kept as an official record.
The real challenge
The hardest requirement was not functional but regulatory: knowing exactly what the customer signed and when — years back if needed. Which means a form version cannot change once sent, and the final document has to meet a full accessibility bar as a delivery condition, not a future improvement.
The system was built around these two requirements from day one — version control and document production are its core, not add-ons.
