EMS

Time and task reporting that looks like a calendar, because that is how people actually remember what they did.

In daily use at our office

Employees avoid time reporting not out of resistance, but because at the end of the day it is hard to reconstruct what they did as a list of tasks. A day is remembered as a sequence.

That is why EMS looks like a calendar. We built it for ourselves and log our hours in it every day — it runs the day-to-day activity of our office. Other businesses work with it too, with adaptations to their needs.

What the employee sees

A whole month on one screen

Every day shows what was reported on it, and a click opens a quick report of project, hours and a description. No form, no needless required fields, and yesterday can be filled in without hunting for it.

A monthly board where every day shows the hours and the projects reported on it

A built-in Hebrew calendar

Every day carries its Hebrew date, and Shabbat and holiday eves show the start and end times and the weekly Torah portion. An employee does not need to cross-check another calendar to know which days finish early.

Vacation without emails

A vacation request opens from the board and goes to the manager for approval in the same system. Vacation and sick days are counted by themselves and appear in the monthly summary.

What the manager gets

The questions a manager asks at the end of the month are always the same questions. The reports are built around them.

How much did this project cost

A detailed project report: all the reports of all the employees on a chosen project, with filtering by year and month and hour totals per employee and per project. It is the report that turns a pricing conversation into a conversation with numbers.

Three more reports

Monthly work per employee, a monthly summary and a summarising attendance report — each of them exported to Excel, PDF, Word or print.

A file ready for the accountant

A dedicated Excel export for payroll preparation. The file replaces collating the data by hand at the end of every month.

Several companies, one database

Multiple companies in one system with full data separation and manager/employee permissions. A secured web system — nothing to install on the workstations.
